Fire Alarm Handover
A fire alarm system is only finished when it is properly handed over. The physical install can be perfect, but without the certificates, the operation and maintenance manual and a working log book, the responsible person has no evidence the system meets a recognised standard and no basis for maintaining it. This guide walks through what a proper handover involves and why each part matters.
Handover is also where a lot of compliance problems begin, because paperwork gets rushed at the end of a job. Doing it well protects the client and the installer alike.

Why handover matters
Handover transfers a working, documented system to the people who will own and maintain it. It gives the responsible person the evidence that the system was designed, installed and commissioned to a recognised standard, and the information they and future engineers need to keep it working. Without that, the next service engineer is working blind, and the responsible person cannot demonstrate compliance.
The certification chain
BS 5839-1 separates the responsibilities for a system into distinct stages — design, installation, commissioning and acceptance — and describes certification for each. The value of separating them is accountability: each certificate records who took responsibility for that stage and any agreed variations from the standard. On many projects these responsibilities sit with different parties, which is exactly why the chain of certificates matters. The precise content and format follow the current edition of the standard.
The O&M manual
The operation and maintenance manual is the reference pack that lets anyone understand and look after the system. A good one gathers the cause and effect, the as-fitted drawings and zone plan, equipment schedules and manufacturer documentation, the certificates, and clear operation and maintenance guidance. Assembling it should not be an afterthought — it is what a future engineer opens first, and gaps in it cause repeat problems and wasted visits.
The log book
The log book is the living record of the system after handover: routine tests, faults, false alarms, services, and any alterations. It is the responsible person's evidence that the system is being maintained and that events are being acted on, and it is one of the first documents an inspecting officer will ask to see. Keeping it accurate is a shared duty — the responsible person maintains it day to day, and every engineer who attends should record what they did. A well-kept log book also reveals patterns, such as recurring false alarms, that point to underlying issues worth investigating.
Common handover failures
From field experience, the recurring failures are missing or incomplete certificates, an O&M manual with no cause and effect or out-of-date drawings, and a log book that was never started or filled in. Catching these at handover — rather than discovering them years later during a service or an inspection — saves everyone time and protects the client's compliance position.
